Terms and conditions

By accepting the housing offer provided by AU Housing, I accept that:

  • The price includes a 200 DKK non-refundable booking fee.
  • I can cancel my housing up to 14 days after the date I accepted the housing offer. Cancellations made after 14 days will not be refunded. Cancellation must be sent to housing@au.dk
  • All communication regarding my housing will be by email, and I will therefore check my email (including my spam folder) regularly.
  • I will sign a housing contract, a key agreement and possibly an internet agreement upon arrival.
  • My room/apartment is for my personal use only. I am therefore not allowed to sublet or have overnight visitors.
  • I will make sure that I know and respect the house rules of my residence. I will ask my landlord or caretaker as well as my fellow dorm- or housemates about the house rules.
  • I will take part in cleaning the common areas in my residence. I will ask my landlord or caretaker as well as my fellow dorm- or housemates about the cleaning agreements.
  • Smoking is not allowed either in my room/apartment or in the common areas.
  • Pets are not allowed either in my room/apartment or in the common areas.
  • I will make sure that I know and respect the latest moving-out date and time. I will check my housing offer and contract. 
  • I will clean and tidy up my housing according to the instructions given by AU Housing. If not done sufficiently, I will be charged a cleaning and/or a garbage fee.
  • I will leave my housing in the same condition as I received it. If my housing (including furniture) is left with damages, I will be charged the cost of repairs.

Preparation and arrival

What to bring or buy

We advise you to bring or buy:

  • Duvet and pillow if you do not wish to use the left-behind ones*
  • Duvet- and pillow covers
  • Towels, dishcloths and kitchen towels
  • Hand soap, dish soap, cleaning supplies and toilet paper (some residences provide this)
  • Internet router and cable if relevant (find more information under the tab "Internet") 
  • Decorations to make it feel like home (be aware that not all residences allow drilling in the wall)

* For environmental reasons, we ask our departing tenants to leave behind their duvet and pillow. You are free to use these items, if you bring a duvet- and pillow cover. If you do not wish to use the left-behind duvet and pillow, we encourage you to bring your own.

What not to bring or buy:

All rooms offered via AU Housing have basic furniture such as a bed, a table, a chair, a lamp and storage. Additionally we will provide you with a mattress protector and a bed sheet. 

Your kitchen will be equipped with basic kitchen utensils such as forks, knives, spoons, plates, glasses, cups, pot(s) and pan(s). We do not provide kitchen equipment such as coffee machines, rice cookers, boilers or similar. If you need this type of equipment, you must buy or bring it. 

Arrival and key collection

You can collect your key in the reception at the International Centre.

The address is Høegh-Guldbergs Gade 4A, 8000 Aarhus C.

You can collect your key from 2 pm on the first date of your housing period. You can collect the key during our regular opening hours (workdays 12 noon - 2 pm) or our extended opening hours (see below).

Travel plans and key collection

We recommend that you make your travel plans so that you arrive and can collect your keys during our opening hours. If you arrive outside our opening hours, you can ask someone else to collect your key for you. If you do not know anyone you can search for someone to help you via the Facebook groups:

Housing contract and internet agreement

You must sign and return the housing contract and the internet agreement within 3 days of your arrival*. They can be returned to the Information Desk in Nobelparken or to the AU Housing reception at the International Centre within the opening hours.

*If you collected your key during our opening hours, you already signed and returned the housing contract and the internet agreement. 

Moving-in checklist

Upon arrival at your residence, please conduct a thorough inspection of your housing as you must submit a moving-in checklist within 3 working days after your arrival.

Please note that any damages or necessary repairs that are not documented in the "Moving-in checklist" or occur during your stay may result in a charge.

Cleaning of common areas in shared apartments

Your roommate might have moved in before your arrival and used the common areas. If this is the case, the common areas might not be as clean as they were when your roommate moved in.

We ask both of you to keep the common areas, such as the kitchen and bathroom, clean and tidy at all times. Please do not leave any dishes unwashed. It is your responsibility, in cooperation with your roommate, to clean the kitchen, fridge, oven, and bathroom weekly. 

During your stay

Keys and chips

You have received 2-3 regular keys, 1 blue key and 1 laundry chip (approx):

  • The regular keys are for the apartment
  • The blue key is for the basement and storage room*
  • The laundry chip is for the laundry facilities*

*Please note, that you must share the blue key and the laundry chip with your roommate. We advise you to keep them in your shared kitchen. 

When you move out the original keys noted in the signed key agreement must be returned. If you lose any keys or the returned keys are copies of the original, you must pay for lock conversion and/or key replacement (up to 6000 DKK).

What is the key tag for?

Make sure to remember your keys and keep them safe

When leaving your room and residence, please be aware that the doors might automatically lock behind you. If this is the case, please remember to bring your keys with you at all times. 

Please note, that if you lose your key, you will be charged up to 6000 DKK to cover the expenses of lock conversion and/or key replacement.

If you lose your key, please find relevant information under the tab "In case of emergency". 

Caretaker

The caretaker's office i located at Herningvej 1. 

The caretaker is responsible for electricity, water, heat, drains and the general condition of the residence. 

AU Housing is responsible for furniture and kitchen equipment.

We encourage you to visit your caretaker as soon as possible after moving in, so he can introduce you to the building, the waste sorting system, and more.

In case of emergency

Lost your key? Electrical problems? Plumbing, sewer or drain problems? Broken window? Heating problems? Another emergency related to your residence?

Outside working hours:

Lost your key? As a locksmith cannot open the doors, we advise you to ask your room mate for help and/or find somewhere else to stay and contact the caretaker during opening hours.

*You can call the emergency service with matters of the utmost urgency e.g. water damage, fire or break-in. 

House rules

Make sure that you are aware of and follow the house rules during your stay. 

House rules at Herningvej 1

Quiet

  • On weekdays there must be quiet at 23.00 – both inside and outside.
  • On weekends there must be quiet at 01.00
  • It is not allowed to drill between 21.00 and 08.00
  • This accounts for all kinds of noise.
  • Generally you should show consideration for the other residents.

Complaints
Complaints follows the formal complaints system, where the complaint has to be written and submitted to the housing association. However it is encouraged, that the complaint is presented to the person in question before submitting it to the housing association. If the noise continues after presenting the complaint to the person in question you have the right to call the police! To avoid this situation it is encouraged to respect the house rules.

Parties
It is encouraged that you put up a note on the notice board in the basement and possibly inform your neighbors, both beside, below and above your apartment    well in advance before having a party. Show consideration.

Outdoor common area
You should clean up after yourself and not damage the tables, the lawn, etc. For example consider where you place the barbecue. Remember to pick up cigarette butts. Charcoal is disposed in the regular dumpsters in a bag after it is totally cooled-down.

The common room in the basement
On Sunday, Monday, Tuesday, Wednesday, Thursday there must be quiet 23.00. On Friday, Saturday and public holidays there must be quiet 02.30. However the rules for the outside in point 1 is still valid. Parties for the whole department are excluded from these rules. Smoking is not allowed in the common room and you are encouraged to use the ashtrays outside the basement door.

Waste system
Please refer to the rules set by the municipality. Cardboard and paper goes in the dumpsters and bottles goes in the container 20 meters up Herningvej.
The container must not be filled so it overflows. (The municipality gives high fines.)
Everything that does not fit in ordinary garbage bags must be placed at ”Storskrald”, which it placed at the gable on Herningvej. “Storskrald” can only be placed if you have ordered “Storskrald” and the municipality rules are met. “Storskrald” can be ordered here: www.affaldvarme.dk

External gallery
There must be free passage. The caretaker cannot clean the passage if things are stored and therefore the cleaning will be your own responsibility.

The basement
The hallways in the basement must be cleared. Things are to be stored inside the rooms. The caretaker has the right to remove things stored outside the basement rooms.

Laundry room
The residents are encouraged to pick up their laundry after washing it. Clean up after yourself. Forgotten laundry is removed every Friday.

Keys
At least 3 keys have been delivered per apartment. You could store one at a friend or neighbor because a locksmith cannot open the doors. It is not the responsibility of the caretaker to come to the rescue.

Bikes
Bikes must be parked in the bicycle stands and not up the columns or the like.

Cleaning

We advise you to clean your bedroom weekly as this helps to limit damages and excessive wear.

As you are living in a shared apartment, you must keep the common areas, such as the kitchen and bathroom, clean and tidy at all times.

Cleaning of common areas in shared apartments 

If you are living in a shared apartment, you must keep the common areas, such as the kitchen and bathroom, clean and tidy at all times. Please do not leave any dishes unwashed. It is your responsibility, in cooperation with your roommate, to clean the kitchen, fridge, oven, and bathroom weekly. 

Please note that if you move out before or after your roommate, you will have full responsibility for the cleanliness of the common areas during your moving-out inspection.

Waste sorting and "Pant"

Waste sorting

In Denmark, sorting and recycling waste and garbage is an everyday practice. By sorting our waste properly, we can contribute towards its reuse. Materials such as glass, plastic, metal, paper and small cardboard items can be recycled and transformed into new products.

Residual waste should always be disposed of in trash bags, securely tied with a knot.

Please ensure that you are familiar with the waste sorting process. If needed, you can ask the caretaker or your dorm mates to locate the appropriate containers.


"Pant" (the Danish deposit and return system)

"Pant" is a Danish system for recycling cans and bottles. Each time you buy drinks in cans or bottles with a deposit mark, you pay a deposit named 'pant'. 

You get your deposit back by returning empty cans and bottles using reversed vending machines in your local supermarket.

The Danish deposit mark is a series of dots under two arrows in a circle. The letter in the deposit mark indicates how much you pay and therefore, how much you will get back when returning the bottle.

Protecting your bed

On top of your bed, there is a top mattress and waterproof cover. In addition to this, you will be provided with a mattress protector when you pick up your keys. These covers are designed to protect your bed and maintain hygiene standards. You can find the names of the covers and their proper order in the image below. 

Please note, that for hygienic reasons it is mandatory to use a bed sheet on top of the mattress protector.

Before you move out, please wash the waterproof cover and arrange the covers in the correct order as shown in the image. Furthermore, kindly dispose of the mattress protector or take it with you when you leave. Failure to do so will result in a garbage fee. 

How to put on bed linen

Furniture and kitchen equipment

The furniture and kitchen equipment in your residence is provided by AU Housing.

If any of the furniture or kitchen equipment is missing or damaged when you move in, please contact AU Housing. 

The furniture and kitchen equipment must be left in the same condition and quantity as when you moved in (except for normal wear and tear). If the furniture is left with damages, you will be charged the cost of replacement or repairs.

Furniture:

  • Ceiling lamp
  • Window blinds
  • Bed (90x200 cm) with a top mattress and waterproof cover
  • Bed table or similar
  • Desk
  • Chair
  • Desk lamp
  • Storage

In addition to this, you will be provided with a mattress protector and bed sheet. 

Kitchen equipment: 

The kitchen is equipped with basic kitchen equipment for preparing and consuming meals. 

Please contact AU Housing if you are missing some of the following basic kitchen equipment: plates, bowls, glasses, cups, cutlery, cutting boards, trivets, pans, pots, kitchen knives, kitchen utensils (palette knives, spoons, kitchen pliers).

We do not provide kitchen equipment such as coffee machines, rice cookers, boilers or similar. If you need this type of equipment, you must buy or bring it. 

Please note, that previous tenants sometimes leave kitchen equipment that we do not provide behind. If these break, we will not replace them. 

Common areas

There are some shared facilities that can be used by everyone living at Herningvej, for example, a common room, a laundry room and an outdoor common area.

For further information about the shared facilities, please ask the caretaker. 

The common room in the basement
On Sunday, Monday, Tuesday, Wednesday, and Thursday there must be quiet at 23.00 (11 pm). On Friday, Saturday and public holidays there must be quiet at 02.30 (2.30 am). However, outside there must be 23.00 (11 pm) regardless. Parties for the whole department are excluded from these rules. Smoking is not allowed in the common room and you are encouraged to use the ashtrays outside the basement door.

Laundry

The laundry cost of approx. 65 DKK/month is included in the price. You receive a laundry chip when collecting your keys. 

The laundry room is situated in the basement. You can find instructions in English in the laundry room. 

When you are done using the laundry facilities, you must remove your laundry and clean up after yourself. Forgotten laundry is removed every Friday. 

If you need further information about the laundry facilities, please contact the caretaker.

Practical information

The soap is automatically dispensed into the washing machine. You cannot use your own soap. 

Remember to empty your pockets. Underwire bras must be washed in a laundry bag, as the metal part can get attached to the drum and ruin the clothes.

Please follow the above-mentioned guidelines to avoid any damage to the machine. If the machine breaks, the responsible part must pay the expenses.

You may be asked to provide your address and installation ID, which you can find in your internet agreement. 

You have wireless internet access (Wi-Fi) from TCD Erhverv. The cost is included in the price.

Upon arrival, you sign an internet agreement which includes the login information.

    The easiest way to find your way around both Aarhus and Denmark is with the “Rejseplanen” (Journey Planner) app.
  • DSB 
    Finding and buying train tickets with Denmark’s national train service (DSB) is quick and easy with the DSB app.
  • Midttrafik
    The Midttrafik app allows you to buy single tickets and multiride tickets for the city buses (yellow), the regional buses (blue), and the light rail (L1 & L2) in Aarhus.
  • AU Find
    You can use the AU Find app to find information about a person, a building or a unit at Aarhus University.
  • Midttrafik live
    This app allows you to see the buses in real time and you can see updated departure times and information about the traffic. 

Getting to know Aarhus

Aarhus is situated on the Eastern coast of Jutland, the large peninsula in Denmark. The city is surrounded by the coastline and beaches to the east, forests to the south, and beautiful hills with lakes and streams to the west.

The city of Aarhus is home to more than 350,000 people, and around 14% of the city's population are students. That might explain why Aarhus was ranked as Denmark's best student city in 2021, 2022, and 2023!

Moving out

Latest moving-out date

You must move out and return the key before 9 am on Sunday 28 July (Term 1) or Sunday 11 August (Term 2). The latest moving-out date is specified in your housing offer and short-term contract. You may move out and return the key before this date if you prefer to do so.

During your stay, we will send you a moving-out email and ask you to submit your key return information including your moving-out date. 

NB: It is not possible to move out after the latest moving-out date. If you need additional housing please find information under the tab "Housing at the private market in Aarhus" on the Housing service website

What to do with bed covers, duvet, pillow and bed sheet

Mattress protector
Make sure to take it with you or throw it out when you move out. If you don't, you will be charged a garbage fee.

Waterproof cover
Make sure to wash it and put it back on your bed in the order shown in the image. If you don't, you will be charged a cleaning fee. 

Top mattress
Make sure to leave it on the bed in the order shown in the image.

Duvet pillow and bed sheet
For environmental reasons, we ask you to leave your duvet, pillow and bed sheet for the next tenant. It must be clean and in good condition. Make sure to wash it and leave it folded on the bed. 

Clear out your housing

AU Housing will inspect your housing after your departure. To avoid unnecessary expenses, we ask you to follow the instructions below.

  • You must throw out or take all personal belongings (including the mattress protector) with you.
  • For environmental reasons, we encourage you to leave your duvet, pillow and bed sheet for the next tenant. It must be clean and in good condition. Make sure to wash it and leave it on the bed.
  • If there are any items (e.g. food items such as spices, flour, oil etc., cleaning products, electrical devices or home decorations) that you wish to pass on to the next tenant, please leave it on the table with a note saying: "This has been left by the previous tenant. Keep what you want and discard the rest".
  • If you have your own kitchen (e.g., in studios and shared apartments), you must remove all kitchen equipment from cupboards and drawers and place it on the kitchen table. Make sure to clean the kitchen equipment, put it in bags, and leave it on the table. Afterward, clean all the cupboards and drawers thoroughly. Please be aware that you are not allowed to throw out the kitchen equipment or remove it from the apartment.

Please note:

You must follow the guidelines regardless of the initial state upon arrival. 

If you leave anything behind (aside from the duvet, pillow and bed sheet) you will be charged with a garbage fee of a minimum of 500 DKK (500 DKK for the first hour, hereafter 350 DKK/hour). If you do not remove and clean the kitchen equipment you will be charged the cleaning costs.

Clean your housing

Before you move out you must clean your housing including the common areas. You can find a cleaning checklist and a guide to Danish cleaning products below and in your residence folder. 

Please note:

AU Housing will inspect your housing after your departure. In case of insufficient cleaning or damages, you will be charged the costs of cleaning or repair.

The responsibility lies with the tenant to ensure a thorough cleaning following our guidelines regardless of the initial state upon arrival. If you have difficulties cleaning something, please contact us before moving out. 

Return your keys

When and where to return your keys

During your stay, we will send you a moving-out email and ask you to submit your key return information including your key return location. 

You must return your keys to one of the following locations:

  • Information Desk / Nobelparken 1451 - 116 (Monday to Friday from 8.30 am to 2 pm until 9 August) 
  • Reception at International Centre / Høegh Guldbergs Gade 4A (during opening hours*)
  • Mailbox at International Centre / Høegh Guldbergs Gade 4A (outside opening hours)

*Our regular opening hours are Monday to Friday from 12 noon am to 2 pm, and our extended opening hours are Sunday 28 July and Sunday 11 August from 7.30 to 9 am.

NB: If you do not return your keys before 9 am on the latest moving-out date it may cost you up to 6000 DKK as we may have to order a locksmith.


How to return your keys

Please place your keys in the envelope provided in the residence folder. Make sure that the envelope contains a copy of the key agreement and make sure to close it securely.

If you return the key outside opening hours, please put it in the mailbox right outside the main entrance of the International Centre:

How to return your residence folder

If you return your keys within opening hours, please also return the residence folder.

If you return your keys to the mailbox, please leave the residence folder in your room.

NB: Please make sure to empty the residence folder for papers with personal information including your name. 


Please be aware...
