You can collect your key from 1 pm on the first work-/weekday of your housing period. You can also collect your key any following work- /weekday during our opening hours.
As an example, if your contract begins on Tuesday 1 August, you can collect your key from 13.00 on this date. However, if your contract begins on Saturday 15 July, you can collect your key from 13.00 on Monday 17 July. You will receive a pre-arrival email providing the exact date.
You can collect your key at the reception at the International Centre during opening hours.

If you arrive outside our opening hours, you can ask a mentor, contact person or friend to collect your key on your behalf. You can inform us through the key collection information form mentioned below. If you do not know anyone who can collect your key for you, please contact us at [email protected].
Please be aware that it is a prerequisite to collect your key that you submit your key collection date via the key collection form. You will receive a pre-arrival email with a link to the form approximately 2-3 weeks before your contract starts.

When you move into a shared apartment it is very important that you move into the correct room which is the one offered by AU Housing. You can find your room number or letter in the address on your residence folder, in your contract and in your housing offer. If you are in any doubt regarding the room number og letter, please contact your caretaker or AU Housing.
NB: If you do not move into the correct room it may have extensive consequences when you are moving out.
Upon arrival at your residence, please conduct a thorough inspection of your housing as you must submit a moving-in checklist within 3 working days after your arrival.
Please note that any damages or necessary repairs that are not documented in the "Moving-in checklist" or occur during your stay may result in deductions from your deposit upon moving out.
Your roommate might have moved in before your arrival and used the common areas. If this is the case, the common areas might not be as clean as they were when your roommate moved in.
We ask both of you to keep the common areas, such as the kitchen and bathroom, clean and tidy at all times. Please do not leave any dishes unwashed. It is your responsibility, in cooperation with your roommate, to clean the kitchen, fridge, oven, and bathroom weekly.
NB: You are responsible for cleaning of common areas before your moving-out inspection no matter when you moved in – before or after your roommate.
When you collect your key, you will receive two copies of your contract.
One of the copies must be signed and returned to AU Housing within 7 days of your arrival, while the other copy is intended for your own keeping.
Please note that the English version of the contract, which can be accessed below, is not authorised, but can be used as a translation of the authorised Danish contract.

It is your responsibility to ensure yourself and your belongings while you are staying in Denmark, as Aarhus University does not cover any losses that may occur. We highly recommend that you take out insurance either before or immediately after your arrival.

You have received 1 key, 1 key chip and 1 laundry chip per apartment (approx):
*Please note, that you must share the laundry chip with your roommate. We advise you to keep it in your shared kitchen.
When you move out the original keys noted in the signed key agreement must be returned. If you lose any keys or the returned keys are copies of the original, you must pay for lock conversion and/or key replacement (up to 6000 DKK).
When leaving your room and residence, please be aware that the doors might automatically lock behind you. If this is the case, please remember to bring your keys with you at all times.
Please note, that if you lose your key, you will be charged up to 6000 DKK to cover the expenses of lock conversion and/or key replacement.

You must pay your first month's rent when you accept your housing offer (before arrival). If your contract starts on the 15th you will only be charged half a month’s rent for your first month. When accepting a housing offer from AU Housing, you must also pay a booking fee of 600 DKK.
At the end of each month, you will receive an e-mail with information about the next month's rent payment. The rent can only be paid with a payment card via our online self-service system.
You must pay a deposit of one to three months’ rent (see your contract).
The deposit payment will be charged as a separate payment at the same time as the second month's rent.
The deposit (minus possible deductions) will be reimbursed after the moving-out inspection. The processing time for reimbursement of the deposit is 6 weeks to 3 months.
From 1 October 2025, a 3% fee will be added when paying rent with:
Aarhus University accepts VISA and Mastercard.
This fee is non-refundable and is the responsibility of the payer.

Make sure that you are aware of and follow the house rules during your stay.
Should you have any questions regarding the house rules, you are welcome to contact the residents' committee per e-mail.
We advise you to clean your room weekly as this helps to limit damages and excessive wear.
As a resident of Grundfos Kollegiet, you are responsible for ensuring that your floor drain is always functioning properly. If your floor drain becomes clogged, it may cause serious water damage to the building. You must therefore clean your drain every week. If your drain becomes blocked and you are unable to clean it yourself, you must contact the caretaker immediately.
You are also responsible for keeping the bathroom clean and for regularly removing limescale from the shower cabin, grout, fixtures, sink, and toilet. Since the water in Denmark contains a high level of lime, it is necessary to use a descaling product and a stiff brush every week. You can learn more here.
Furthermore, as you are living in a shared apartment, you must keep the common areas, such as the kitchen and bathroom, clean and tidy at all times. Please do not leave any dishes unwashed. It is your responsibility, in cooperation with your roommate, to clean the kitchen, fridge, oven, and bathroom weekly.
The waste chute may only be used for regular household waste, and only when it is packed in a securely closed bag.
All other types of waste — such as bottles, glass, cardboard, advertisements, and larger items — must be placed in the designated waste containers around the residence.
Improper use of the waste chute can cause blockages, which result in significant repair costs for the residence. These expenses are shared by all residents and may lead to higher rent.
In Denmark, sorting and recycling waste and garbage is an everyday practice. By sorting our waste properly, we can contribute towards its reuse. Materials such as glass, plastic, metal, paper and small cardboard items can be recycled and transformed into new products.
Residual waste should always be disposed of in trash bags, securely tied with a knot.
Please ensure that you are familiar with the waste sorting process. If needed, you can ask the caretaker or your dorm mates to locate the appropriate containers.
"Pant" is a Danish system for recycling cans and bottles. Each time you buy drinks in cans or bottles with a deposit mark, you pay a deposit named 'pant'.
You get your deposit back by returning empty cans and bottles using reversed vending machines in your local supermarket.
The Danish deposit mark is a series of dots under two arrows in a circle. The letter in the deposit mark indicates how much you pay and therefore, how much you will get back when returning the bottle.
On top of your bed, there is a top mattress, a mattress protector and waterproof cover. These protective layers are designed to protect your bed and maintain hygiene standards. You can find the names of the protective layers and their proper order in the image below.
Please note, that for hygienic reasons it is mandatory to use a bed sheet on top of the waterproof cover. It is also mandatory to use a pillowcase and duvet cover.
The furniture and kitchen equipment in your residence is provided by AU Housing.
If any of the furniture or kitchen equipment is missing or damaged, please contact AU Housing. If you have not yet submitted the moving-in checklist, please inform us about any missing or damaged furniture or kitchen equipment through the moving-in checklist.
The furniture and kitchen equipment must be left in the same condition and quantity as when you moved in (except for normal wear and tear). The cost of missing or damaged items will be deducted from your deposit.
You find the vacuum cleaners in a closet in the basement near the laundry room (you need your key to get in). If they’re not there, it’s because some of the other residents haven’t put them back. If that’s the case, you should contact your caretaker.
Indoor shared facilities: common room, study room, laundry room,
Outdoor shared facilities: terrace, bicycle storage
There are common facilities on the 11th floor and a study room on the ground floor.
These rooms must be treated with respect. If anything is broken or for some other reason does not function, this should be reported to the resident’s council.
The Common room
The common room is situated on the 11th floor of the building (no worries - there is an elevator) and includes a terrasse with an amazing view of Aarhus city and the harbour.
This is a meeting place for all the residents. The room is equipped with a larger kitchen area, cable TV, big screen, table football and many other board games etc.
You are very welcome to make use of the common room as long as house rules are respected. You can rent the small room from the kitchen furthest away from the terrasse until the first white divider. It can be rented by sending an email to the residence council on: [email protected] and availability can be seen at
Utensils, chairs, games etc. belong in the common room and must not be removed.
Residents are not allowed to make any changes to common areas without the permission of the Resident’s Council, which would inflict an economic cost at reestablishment.
After use of the common room, they must be cleaned so that they are always nice and presentable. If the rooms are not cleaned before 11 am the following day, a cleaning company can be ordered on behalf of the resident who will have to pay. Therefore, remember to document that you cleaned the rooms.
Kindly, note that the common room is for the use of all residents and we need to make room for each other. Only the small (white) kitchen can be booked. The rest cannot be booked or otherwise reserved.
If the resident brings more than 6 guests from outside the dormitory, the resident will have to book the small kitchen. The number of guests from outside the dormitory cannot be more than 15 people. The resident is solely responsible for his/her guests and all of their actions. The purpose of the common areas has been defined as providing a place at the dormitory for residents to socialize with each other.
The laundry room (launderette) is located in the basement. The laundromats are available between 6.00 and 23.00.
The laundry cost of approx. 65 DKK/month is included in a service agreement paid with the rent.
You or your roommate receive a laundry chip and activation code when collecting your keys. The laundry chip must be activated at the small screen on the right wall from the entrance in the laundry room.
Please note, that you must share the laundry chip with your roommate. We advise you to keep it in your shared kitchen.
If you or your roommate did not receive a laundry chip or activation code, please leave a note with your name, address and issue in the Post-box nr. 11.08 marked "Varmemester" (caretaker).
The caretaker checks the postbox several times a day and will get in contact with you as soon as possible.

Internet access and Wi-Fi are provided and included in the rent.
Upon arrival, you will be asked to sign an internet agreement including the login information. By signing the internet agreement and the housing contract you are obliged to abide by the rules stated in this agreement. Please notice, that the Internet connection is limited to use for study purposes, email, and Skype. It does not have the capacity for gaming and heavy streaming.

You can shorten your contract by submitting the notice of termination form before the notice deadline. Please, be aware of the latest moving-out date.
You can request an extension of your contract by contacting AU Housing a minimum of two months before your current contract ends.
Please note, that extensions are granted in exceptional cases only.
When you have moved out and returned your key, a moving-out inspection will take place.
You must contact AU Housing at [email protected] as soon as possible and at least 14 days before you move out to inform us about the date you will return your key so that we can plan the moving-out inspection accordingly.
The residence must be cleared and cleaned for the inspection. To avoid unnecessary expenses, we ask you to follow the guidelines carefully (find more information in the tabs below).

Wash both items. Place the clean pillow protector back on the pillow and the waterproof cover back on the bed as shown in the image. Do not remove them from the room.

Leave both on the bed. Do not remove them from the room.

You must report your change of address from one month before moving and no later than five days after. In Aarhus Municipality, you will receive a fine of 990 DKK if you report the change more than 14 days after moving.

The deposit will be reimbursed (after withdrawal of eventual costs) after the final inspection when you have left your lease.
The deposit will be reimbursed to the same bank account you used when making the deposit payment.
It is not possible to deduct the last month’s rent from the deposit.
The processing time for reimbursement of deposit is 6 weeks to 3 months.

Change of bank account
Deposits are always automatically refunded to the card from which the original payment was made. If the account has since been closed, or if the tenant wishes the deposit to be refunded to a different account, the tenant must notify us and submit the bank details for the desired account via the bank information form.

4. I am aware that AU doesn’t provide any insurance and it is my own responsibility to acquire suitable insurance to cover any loss of my belongings.
5. I accept that my housing is a single occupancy (unless otherwise explicitly informed about in my housing offer) and that it is only permissible for the contract holder to live there.
