You can collect your key from 1 pm on the first work-/weekday of your housing period. You can also collect your key any following work- /weekday during our opening hours.
As an example, if your contract begins on Tuesday 1 August, you can collect your key from 13.00 on this date. However, if your contract begins on Saturday 15 July, you can collect your key from 13.00 on Monday 17 July. You will receive a pre-arrival email providing the exact date.
You can collect your key at the reception at the International Centre during opening hours.

If you arrive outside our opening hours, you can ask a mentor, contact person or friend to collect your key on your behalf. You can inform us through the key collection information form mentioned below. If you do not know anyone who can collect your key for you, please contact us at [email protected].
Please be aware that it is a prerequisite to collect your key that you submit your key collection date via the key collection form. You will receive a pre-arrival email with a link to the form approximately 2-3 weeks before your contract starts.

When you collect your key, you will receive two copies of your contract.
One of the copies must be signed and returned to AU Housing within 7 days of your arrival, while the other copy is intended for your own keeping.
Please note that the English version of the contract, which can be accessed below, is not authorised, but can be used as a translation of the authorised Danish contract.
Upon arrival at your residence, please conduct a thorough inspection of your housing as you must submit a moving-in checklist within 3 working days after your arrival.
Please note that any damages or necessary repairs that are not documented in the "Moving-in checklist" or occur during your stay may result in deductions from your deposit upon moving out.
Your roommate might have moved in before your arrival and used the common areas. If this is the case, the common areas might not be as clean as they were when your roommate moved in.
We ask both of you to keep the common areas, such as the kitchen and bathroom, clean and tidy at all times. Please do not leave any dishes unwashed. It is your responsibility, in cooperation with your roommate, to clean the kitchen, fridge, oven, and bathroom weekly.
NB: You are responsible for cleaning of common areas before your moving-out inspection no matter when you moved in – before or after your roommate.

The caretaker is responsible for electricity, water, heat, drains and the general condition of the residence.
AU Housing is responsible for furniture and kitchen equipment.
We encourage you to contact your caretaker as soon as possible after moving in, so he can introduce you to the building, the waste sorting system, and more.
It is your responsibility to ensure yourself and your belongings while you are staying in Denmark, as Aarhus University does not cover any losses that may occur. We highly recommend that you take out insurance either before or immediately after your arrival.

You have received 2 chips, 1 laundry chip (Nortec) and 2 keys (approx):
When entering the building, hold your chip against the door scanner for a few seconds until the light flashes green. To enter the room, hold the chip up to the device on the lock until it flashes green. Then, turn the lock counterclockwise, like turning a key, to unlock. To lock it, simply turn the lock in the opposite direction.
When you move out the original keys noted in the signed key agreement must be returned. If you lose any keys or the returned keys are copies of the original, you must pay for lock conversion and/or key replacement (up to 6000 DKK).
When leaving your room and residence, please be aware that the doors might automatically lock behind you. If this is the case, please remember to bring your keys with you at all times.
Please note, that if you lose your key, you will be charged up to 6000 DKK to cover the expenses of lock conversion and/or key replacement.

The caretaker is responsible for electricity, water, heat, drains and the general condition of the residence.
AU Housing is responsible for furniture and kitchen equipment.
We encourage you to contact your caretaker as soon as possible after moving in, so he can introduce you to the building, the waste sorting system, and more.
You must pay your first month's rent when you accept your housing offer (before arrival). If your contract starts on the 15th you will only be charged half a month’s rent for your first month. When accepting a housing offer from AU Housing, you must also pay a booking fee of 600 DKK.
At the end of each month, you will receive an e-mail with information about the next month's rent payment. The rent can only be paid with a payment card via our online self-service system.
You must pay a deposit of one to three months’ rent (see your contract).
The deposit payment will be charged as a separate payment at the same time as the second month's rent.
The deposit (minus possible deductions) will be reimbursed after the moving-out inspection. The processing time for reimbursement of the deposit is 6 weeks to 3 months.
From 1 October 2025, a 3% fee will be added when paying rent with:
Aarhus University accepts VISA and Mastercard.
This fee is non-refundable and is the responsibility of the payer.

Lost your key? Electrical problems? Plumbing, sewer or drain problems? Broken window? Heating problems? Another emergency related to your residence?

Be aware of possible costs when using urgent phone numbers, e.g. locksmith and unnecessary calls to electrician, plumber etc.
Make sure that you are aware of and follow the house rules during your stay.
In order to avoid being deducted for any maintenance costs, we recommend that you read the maintenance regulation guidelines.
We advise you to clean your residence weekly as this helps to limit damages and excessive wear.
In addition to this, you are obliged to clean and tidy up after yourself, when you have used the common areas.
Every floor has two cleaning rooms. Here you can borrow a vacuum cleaner, gear for window cleaning, buckets and a number of cleaning detergents.
In Denmark, sorting and recycling waste and garbage is an everyday practice. By sorting our waste properly, we can contribute towards its reuse. Materials such as glass, plastic, metal, paper and small cardboard items can be recycled and transformed into new products.
Residual waste should always be disposed of in trash bags, securely tied with a knot.
Please ensure that you are familiar with the waste sorting process. If needed, you can ask the caretaker or your dorm mates to locate the appropriate containers.
"Pant" is a Danish system for recycling cans and bottles. Each time you buy drinks in cans or bottles with a deposit mark, you pay a deposit named 'pant'.
You get your deposit back by returning empty cans and bottles using reversed vending machines in your local supermarket.
The Danish deposit mark is a series of dots under two arrows in a circle. The letter in the deposit mark indicates how much you pay and therefore, how much you will get back when returning the bottle.
On top of your bed, there is a top mattress, a mattress protector and waterproof cover. These protective layers are designed to protect your bed and maintain hygiene standards. You can find the names of the protective layers and their proper order in the image below.
Please note, that for hygienic reasons it is mandatory to use a bed sheet on top of the waterproof cover. It is also mandatory to use a pillowcase and duvet cover.
The furniture and kitchen equipment in your residence is provided by AU Housing.
If any of the furniture or kitchen equipment is missing or damaged, please contact AU Housing. If you have not yet submitted the moving-in checklist, please inform us about any missing or damaged furniture or kitchen equipment through the moving-in checklist.
The furniture and kitchen equipment must be left in the same condition and quantity as when you moved in (except for normal wear and tear). The cost of missing or damaged items will be deducted from your deposit.
You find the vacuum cleaners in a closet in the basement near the laundry room (you need your key to get in). If they’re not there, it’s because some of the other residents haven’t put them back. If that’s the case, you should contact your caretaker.

Cleaning room
Åbykollegiet has a cleaning room where you can find the following for general use: Vacuum cleaner incl. bags, shaft for floor mops, gear for window cleaning, buckets and a number of cleaning detergents.
Don't forget to clean and return the items you have borrowed.
Common areas
On the ground floor is a common room with a kitchen, a fitness room and a shared laundry - all with access to the south-facing terrace and open space of the atrium. The kitchen has standard kitchen tools, a refrigerator, an oven etc. The common room is for spending time together, being social and for parties with your fellow students at the dorm.
Parking
You can park in the basement and the courtyard. You can buy a monthly residence license with the price of 650 DKK, or you can pay per minute/hourly in the parking basement with an app (follow the manual on the signs in the basement).
When you drive your car into and out of the basement/courtyard, your car will be registered with a camera. If you haven’t bought a residence license, you will receive a parking ticket.
It is possible to park in the courtyard when moving in and out. You have to contact the caretaker to get this permission.
The soap is automatically dispensed into the washing machine. You cannot use your own soap.
Remember to empty your pockets. Underwire bras must be washed in a laundry bag, as the metal part can get attached to the drum and ruin the clothes.
Please follow the above-mentioned guidelines to avoid any damage to the machine. If the machine breaks, the responsible part must pay the expenses.

AU Housing provides a router for wireless internet access. If you have a roommate, the router is shared between you.
Please use the login details on the router to connect to the Wi-Fi (you might need to reset the router).
Kindly note that AU Housing does not offer technical support for the router. For assistance, please contact Bolignet-Aarhus.
If you are missing a router or require access to your roommate’s room, please contact AU Housing.
Important: The router must remain in the residence when you move out. If the router is removed, 500 DKK will be deducted from your deposit.

You must move out before 9 am on the latest moving-out date, which is 7 working days before your contract ends (maintenance period).

You can shorten your contract by submitting the notice of termination form before the notice deadline. Please, be aware of the latest moving-out date.
You can request an extension of your contract by contacting AU Housing a minimum of two months before your current contract ends.
Please note, that extensions are granted in exceptional cases only.
When you move out, your caretaker performs a moving-out inspection (note: you do not need to be present). The residence must be cleared and cleaned for the inspection. To avoid unnecessary expenses, we ask you to follow the guidelines carefully (find more information in the tabs below).
Please contact the caretaker at least three days before your moving-out date to arrange the moving-out inspection.
The tenancy must be cleared and cleaned for the inspection. When the room has been inspected, you can no longer access your housing.
If you are not present at the moving-out inspection, please return your keys in the mailbox at the caretaker's office clearly marked with your name and address, and leave the residence folder in your room.
If you are present at the moving-out inspection, please return your keys and residence folder to the caretaker at the inspection.
Please do not remove any key tags from the keys.
NB: Please make sure to empty the residence folder for papers with personal information including your name.

Top mattress and mattress protector:
Leave both items on the bed in the order shown in the image. Do not remove them from the room.
Pillow protector and waterproof cover:
Wash both items. Place the clean pillow protector back on the pillow and the waterproof cover back on the bed as shown in the image. Do not remove them from the room.
Pillow and duvet:
Leave both on the bed. Do not remove them from the room.
If you have a private kitchen (e.g., in studio or shared apartments), please take out all kitchen equipment from cupboards and drawers to clean everything thoroughly and place it on the kitchen counter. Then, please clean all cupboards and drawers inside and out. The rest of the kitchen must also be cleaned. Please note:
If the kitchen equipment is not cleaned and left on the counter, the cost of cleaning will be deducted from your deposit.
If you are not present at the moving-out inspection, please return your keys in the mailbox at the caretaker's office clearly marked with your name and address, and leave the residence folder in your room.
If you are present at the moving-out inspection, please return your keys and residence folder to the caretaker at the inspection.

You must report your change of address from one month before moving and no later than five days after. In Aarhus Municipality, you will receive a fine of 990 DKK if you report the change more than 14 days after moving.
If you do not have MitID, please call Citizen Service at +45 8940 1030. The phone line is open Monday to Thursday from 10 AM to 6 PM, and Friday from 10 AM to 4 PM.
The deposit will be reimbursed (after withdrawal of eventual costs) after the final inspection when you have left your lease.
The deposit will be reimbursed to the same bank account you used when making the deposit payment.
It is not possible to deduct the last month’s rent from the deposit.
The processing time for reimbursement of deposit is 6 weeks to 3 months.

Change of bank account
Deposits are always automatically refunded to the card from which the original payment was made. If the account has since been closed, or if the tenant wishes the deposit to be refunded to a different account, the tenant must notify us and submit the bank details for the desired account via the bank information form.

9. I accept that, in the event of unpaid outstanding balances related to the housing contract, Aarhus University reserves the right to share relevant personal information, including contact details, CPR number and/or passport information, with the Danish Debt Collection Agency (Gældsstyrelsen).

2. I am obliged to pay attention to neighbours and take part in weekly cleaning of common areas (if any) and half-yearly general cleaning of common areas.
3. I am fully responsible for the room/apartment that I rent. I will pay repair costs for damages caused by me or any person visiting me.
4. I am aware that AU doesn’t provide any insurance and it is my own responsibility to acquire suitable insurance to cover any loss of my belongings.
5. I accept that my housing is a single occupancy (unless otherwise explicitly informed about in my housing offer) and that it is only permissible for the contract holder to live there.

7. I accept that smoking is not allowed neither in my room/apartment nor in any common areas.
8. I accept that I am not allowed to paint, alter or make any permanent alterations in my room/apartment.
